Payment, cancellations, and amendments to your journey
Beyond the initial excitement of envisioning your bespoke escape to Bali, understanding the practicalities of securing and managing your journey ensures every detail aligns with your expectations. Securing your private Bali travel experience often begins with a deposit. Typically, a non-refundable deposit of 25% of the total trip cost is required within seven days of receiving your confirmed itinerary to secure your services and accommodations. The remaining balance is due 60 days prior to your scheduled arrival in Indonesia, allowing ample time for final preparations and the meticulous coordination of your luxury arrangements. Failure to make payments by the specified deadlines may result in the automatic cancellation of your booking without refund, ensuring fairness for all parties involved in crafting these exclusive experiences.
We understand that even the most meticulously planned trips can sometimes change. Should you need to cancel your private Bali travel arrangements, written notification is required. For cancellations received more than 90 days before the scheduled departure date, a loss of the initial deposit will be incurred. For cancellations made between 60 and 90 days prior to departure, a 50% cancellation fee applies to the total trip cost. Cancellations made within 60 days of departure are subject to a 100% cancellation fee, reflecting the non-recoverable costs associated with bespoke luxury tourism services, including pre-booked villas, private charters, and exclusive experiences.
While we strive for flexibility to accommodate your evolving needs, amendments to confirmed bookings may incur administrative fees and are always subject to availability. Minor changes, such as adjusting a single tour date or a specific dining reservation, might be accommodated with a small amendment fee, typically around USD 50 per change, provided sufficient notice is given. However, significant alterations, such as changing primary travel dates or core accommodations within 90 days of departure, may be treated as a cancellation and subsequent re-booking, subject to the full cancellation terms outlined above. We encourage early communication for any desired modifications to ensure the seamless execution of your curated journey and to minimize potential disruptions to your exclusive itinerary.
Travel insurance and your peace of mind
As a cornerstone of responsible and worry-free Indonesia luxury tourism, comprehensive travel insurance is not merely recommended, but strongly advised for all our guests undertaking private Bali travel. This vital protection safeguards your substantial investment against a myriad of unforeseen circumstances, including medical emergencies, trip cancellations due to illness or other personal reasons, lost luggage, and travel delays. We urge you to ensure your policy covers international travel comprehensively, including medical evacuation, and specifically addresses the unique activities you plan to enjoy, from diving in Nusa Penida to trekking through rice paddies, providing unparalleled peace of mind.
Our role involves curating exceptional experiences and facilitating bookings with a carefully selected network of trusted third-party providers. This includes connections with luxury resorts, private villa operators, premium airlines, and local transport services, all chosen for their commitment to excellence. While we meticulously vet our partners to ensure they meet the highest standards of luxury and reliability, we cannot be held responsible for their individual actions, omissions, or any service failures that may arise independently. Your comprehensive travel insurance should ideally extend to cover potential disruptions caused by these independent entities, offering an additional layer of security and allowing you to fully immerse yourself in your journey without undue concern.
In the rare event of circumstances entirely beyond our control, such as natural disasters (e.g., the eruption of Mount Agung in 2017 or other seismic activity), political unrest, pandemics, or unforeseen operational changes by third-party suppliers, Privatebalitravel’s liability is limited. We will, however, endeavor to provide all reasonable assistance and explore alternative arrangements where feasible, always prioritizing your safety and comfort. It is imperative that your travel insurance policy includes robust provisions for force majeure events, ensuring that your investment and well-being are protected even against the most unpredictable global occurrences, allowing you to travel with confidence.
Health, safety, and cultural immersion in Bali
Your well-being is paramount during your private Bali travel experience. We strongly advise consulting your physician regarding recommended vaccinations and general health precautions for Indonesia well in advance of your departure. Simple yet effective measures, such as drinking only bottled water, diligently using insect repellent, and protecting yourself from the tropical sun, significantly enhance your comfort and minimize health risks. Our dedicated local team is always available to provide immediate assistance and connect you with reputable medical facilities, should the need arise, ensuring that expert care is always within reach throughout your luxury escape.
Bali’s rich spiritual heritage and vibrant local customs are an integral part of its profound allure, offering a deeper dimension to your private Bali travel. To foster respectful and truly enriching interactions, we encourage guests to observe local etiquette. This includes dressing modestly when visiting temples – ensuring shoulders and knees are covered – and always asking permission before photographing individuals, especially during ceremonies. Understanding and respecting these traditions, often rooted in the Hindu Dharma philosophy, profoundly enriches your cultural immersion in Bali, transforming a mere visit into a meaningful exchange.
Guests are expected to adhere to all local laws and regulations throughout their stay in Indonesia. This includes strict prohibitions against drug use, which carries severe penalties and is enforced rigorously. While our curated private Bali travel experiences offer unparalleled comfort and security, personal responsibility for your belongings and actions remains essential. We recommend utilizing hotel safes for valuables and exercising general caution, just as you would in any international destination, ensuring your luxury journey remains seamless and safe. Our commitment is to provide an environment where you can relax and explore with confidence, knowing you are well-informed and supported.
